Universal Hotel Liquidators (UHL) is the largest liquidator of quality hotel furniture in the U.S. Founded in 1999 by David White, the company works with major hotel chains such as Marriott, Sheraton, Ritz-Carlton, and Hyatt. UHL has been featured in numerous publications, including The Wall Street Journal, USA Today, and the New York Post, and has earned a reputation as a company with a heart.

After a trip to Gambia, where White saw firsthand the crushing poverty, he helped form an employment agency that helps Gambians get good jobs on cruise ships and in other industries. UHL also donates beds, desks, and other furniture to improve the quality of life of people in Gambia and other developing countries.

Challenges

UHL is a small business with a huge inventory, which it showcases in a 60,000-square-foot warehouse in West Haven, Connecticut. Every day, the company hears from major hotels looking to offload furniture, and from smaller and unbranded hotels interested in buying quality furniture at significantly discounted prices.

 

UHL maintains a small staff to keep prices low, and employees are often deep in the warehouse, or out on a truck making a pickup or delivery. White needed a way to ensure that customers could always reach him and his staff. To further ensure excellent customer care, White also wanted a better way to track his fleet vehicles.

Universal Hotel Liquidators has become famous throughout the New England area for providing outstanding bargains in quality furniture. Founder and CEO David White is a business whiz who launched his first successful company while still in college.

 

“I was always entrepreneurial,” he said. “I started making T-shirts for my fraternity and eventually we employed 150 people.”

 

One of the company’s most successful items was a shirt that satirized the preppy polo shirts featuring an alligator logo. “Our shirts showed an alligator wearing a shirt that had a logo of a little man on them,” White said. He sold the shirts to U.S. department stores, including Macy’s and Bloomingdale’s, and to stores in a number of other countries. According to White, they shipped 35,000 shirts out of his parents’ basement in the suburbs of New Haven, Connecticut, on a street that had never even had a tractor trailer on it before.

 

White built on his early success and expanded the company to include upscale resort wear retail shops in the U.S. and the Caribbean. “At the same time, we were designing and printing shirts for Adidas, Puma, and Reebok,” he said. “And we did 250,000 T-shirts as part of a promotion for MTV.”

 

After selling his clothing business, White recognized an opportunity in the hotel furnishings market when he noticed how often high-end hotels refresh their rooms and common areas. He figured that small to mid-range hotels, other businesses, and even individuals would jump at a chance to pick up top-quality furniture at discounted prices. “I always
liked historic hotels and I met a gentleman that was liquidating a hotel in New Haven,” White said. “A year later, I invested in a project he was doing in Puerto Rico that involved two hotels and a convention center, and that’s how I started Universal Hotel Liquidators.”

 

Much of UHL’s massive inventory comes from top-tier hotels that take great care of their furniture, but replace it every few years to maintain their aura of luxury. The company also sells brand new, commercial-grade furniture it purchases directly from manufacturers. “Our customers are happy because they’re able to afford something that they otherwise might not be able to afford,” White said. “The quality is a lot better. Hotel-grade furniture is made to last.”

 

UHL’s business model also benefits the environment. “It’s hard for hotels to get rid of their used furnishings,” he said. “Some were just throwing beds and other furniture into landfills. Now we’re helping the hotel industry become green, because we recycle everything. We take it off their hands and sell it, and they look good.”

 

Seizing every opportunity

Smart management is part of the reason why UHL can offer furniture at such attractive prices. “When we first started in 1999, the internet was just starting,” White said. “I hired kids from Teen Challenge to call hotels all over the country and ask the chief engineer if the hotel would be liquidating rooms any time soon.” According to White, they would usually get hung up on. “Now, people are calling us because of Google and other search engines,” he said. “We’re not out there aggressively looking for hotels, but people are coming to us because of our reputation.”

 

UHL has expanded significantly since those early days, but they continue to operate with a lean staff, which means that most workers have several responsibilities. They could be on one of the company’s trucks, working at a hotel, or assisting a customer in the warehouse. Some staff do most of their work at a time when few other businesses are operating. “We’ll often go into a hotel during the night while guests are sleeping and take all the furniture from an entire floor,” White said.

 

Like most successful business owners, White wants to take advantage of every opportunity that comes his way, whether it’s a hotel looking to replace hundreds of rooms of furnishing, or a student from Yale or the University of New Haven who needs a few pieces of inexpensive furniture for their apartment. He needed a way to ensure that staff was available to respond to the company’s diverse clientele and prospective customers.

 

Communicating more effectively

AT&T Collaborate, a cloud-based voice solution, enables UHL’s workers on the go to be more accessible to White, to one another, and to UHL customers.

“We’re a small company. We don’t have secretaries or anything like that,” he said. “We use Collaborate for communicating around the office and transferring calls when someone is on the road.” When White or his staff are traveling, he appreciates receiving emails of recent voice messages.

 

“Everything is online, so we can set up our hunt groups and check anything we want to. It’s very sophisticated,” he said.

 

The solution helps the small company operate like a much bigger organization, improving communication by routing calls to the person who can best help each caller. “We can determine the order in which incoming calls will ring,” White said. For example, UHL can program the system so that calls go first to the sales manager, then to another staff member, and finally to voicemail if the first two staff were unavailable. “We don’t want it ringing a lot,” he said. “We want it finding someone. We want that call to be answered. I like being able to manage things so that we never lose a call. One call could be very important.”

“When you have 6 guys in your truck and they’re waiting for you at the Ritz-Carlton in New York and the hotel manager is saying that he needs those rooms cleaned out now, we don’t have to call and ask our guys where they are,” he said. “Especially when they were there, in their truck, the whole time.”

 

Fleet Complete also helps UHL when the drivers are in the neighborhood making small deliveries. “We just like knowing where they are,” he said. “Plus it lets us know how fast the driver is going, and where and when he stops. It’s an amazing service.”

 

White plans to add to the Fleet Complete features that UHL currently uses. “I just talked to a salesman today about putting in a dash cam to further protect our drivers,” he said. The system can notify drivers of speeding, tailgating, and lane departures to discourage the behavior, and it can help clear the driver’s name in case of an accident or accusation of bad driving.

What They Were Looking For

Many ATS customers rely on the trucking company to transport temperature-sensitive goods over long distances. With the introduction of new legislation for the transportation of pharmaceuticals, ATS required a solution that would allow them to monitor real-time temperature and location information on their refrigerated trucks carrying pharmaceuticals to ensure the timely delivery of undamaged goods. Quality control hinges on the availability of temperature information for many ATS customers and is, therefore, vital to consistent customer service.

 

ATS turned to Fleet Complete to provide a comprehensive fleet management and GPS tracking solution that would ensure the legislative requirements of their pharmaceutical customers were met appropriately.

Fleet Complete deployed Fleet Trackers with temperature sensors to provide a solution that Fleet Management can use to monitor refrigerated vehicles in real-time. 

 

Each of the ATS’ refrigerated vehicles is fitted with an MGS 200 fleet tracking device, which is integrated with full temperature management, alarm notification, reporting and storage capabilities. Information from the on-board systems is sent to the main dispatch centre over a wireless network. The solution covers the entire delivery process of goods from the warehouse to their various destinations. 

 

Before leaving the warehouse, the goods’ temperature readings are carefully captured and recorded. Once on the trucks, the temperature of the goods continues to be monitored using both wet and dry temperature sensors. The dry temperature probes collect the temperature of the vehicle environment, while the wet temperature probes collect real-time temperature status of the actual goods. A self-contained refrigeration unit installed on the trucks ensures that the vehicle is kept cold even while the engine is off. 

 

The temperature of the actual goods depends on a number of criteria, including weight, density and packaging. The wet sensor is encased in a tube filled with glycol, which reads the ambient temperature of a packaged product. 

 

Any time the truck’s back door is opened, an alarm is sent to the monitoring centre at ATS headquarters to notify personnel of the event and warn them to closely monitor the temperature of goods.

 

All information from the sensors is recorded and stored in a database for at least seven years. Storing this data is of particular importance for ATS’s pharmaceutical customers. Having access to the breadth of information, collected by the sensors, helps them to ensure that when their goods arrive at their destination, they meet all quality requirements and are safe for use.

Edgewood is responsible for 45 school buses, 9 police cruisers and a number of vans and Chevy Suburban vehicles. Without a fleet management system in place, they lacked visibility over the real-time location of their vehicles. “We have a 24-hour police department, and we wanted to make sure we were keeping idling to a minimum. We were also looking for a solution that would let us monitor the rounds that our constables are required to do,” says Adam Galvan Jr, Director of Technology. Following the District’s strong commitment to paper reduction and the protection of the environment, Adam was also looking for a solution that would help him reduce paper usage.

 

Increasing the safety of students and police cruisers was one of the main requirements. According to Galvan Jr, “The security and safety of our students and our police force is paramount to us. As a result, we were looking for a system that would allow us to see where everyone was at all times, in case a bus was taken or we had an emergency.” Finally, reducing costs and having information about how vehicles were being used was another need for the District.

By utilizing the Fleet Complete solution, Edgewood has been able to reduce fuel costs by curbing idling. “When you have a police department that is doing rounds 24 hours a day, it is easy to idle, especially at night. By reducing the amount of time the cruisers are parked while being turned on, we have been able to reduce our fuel costs,” says Adam Galvan.

 

According to Galvan Jr, increasing the safety of the police force and the students has been one of the biggest benefits. “A few months ago, a police constable had an accident and couldn’t identify his physical location. With the help of Fleet Complete, the Chief of Police was able to see where the police cruiser was and he dispatched help right away. Previously we wouldn’t have been able to do this,” says Galvan Jr.

 

Being satisfied with the results of the system, Edgewood School District has now started to work on customizing their solution to fit their individual needs with the help of the Professional Services department. “We have started modifying our dashboards to show the information we are most interested in,” says Galvan Jr.

The most common use is in the power transmission industry. This truck will take them anywhere they need to go, through any terrain to get there to lay out the job and any obstacle that’s in its path, it’s no problem for this thing.”

 

Craig Carroll from PTR adds, “Fat Truck fits into our product offerings because we service a lot of utility, transmission and distribution companies. A lot of them are off the grid when they service a transmission line or a tower. This thing can get them there if it’s flooded – it’ll float right through it. If it’s muddy, this thing will get traction and make it there.”

Since PTR is a rental company and have many different clients nationwide, they needed to be able to provide certain tracking and locating capabilities to their customers who are using their equipment and vehicles, as well as for themselves to be able to monitor the wear and tear of their rented assets.

Locating

JB: “I see it as a valuable asset to our business because we can provide better customer service to our clients when we can locate a vehicle for them. In my department, when a truck breaks down in the field, we can pinpoint it and see where it’s at.”

 

“Certain areas of West Texas, where directions don’t get you anywhere, we need an actual location. We can pull latitude and longitude, give that to the tow company, and they can get the vehicle moved to a dealer.”

 

Idling & Maintenance

“When I use Fleet Complete and when my team members use it, it’s easy for us to pull diagnostic codes, current mileage, idle hours. In our fleet, idle hours is a big concern that we watch a lot, because idle hours have an effect on overall wear and tear of the motor.”

 

“We get a report when a unit has a lot of idle time on it. We pull that report and then we can reach out to the customer and say, “Hey, this unit is idling a lot. You might want to check with your crew why is it idling so much.”

 

“Another measurable benefit for us would be service intervals. That’s a big thing. When we can get on and track the mileage since the last service… We actually use it for tires too, because we can replay certain trips in certain terrains. We can use the Breadcrumb Trail feature: We can go back and see what kind of terrain they’re driving on – if they’re driving on roadways that are heavy stone and have excess wear on the tires, we can see all that through the reporting feature.”

 

CC: “For maintenance tracking, we do a lot of mileage and Fleet Complete helps us with odometer readings. There comes a point where, in our fleet, we have to retire vehicles, so the unit is sent to auction and the odometer reading lets us know when that time is perfect. It’s always good to keep an eye on that.”

 

Recovering Stolen Vehicles

CC: “We’ve had occasions where some trucks have been stolen, and we were able to recover them with the use of Fleet Complete.”

 

JB: “A couple of months ago, we had a unit that was stolen. The customer called me directly and said, “Hey, my truck just got stolen. Can you locate it for me?”

 

“I was able to go on Fleet Complete and locate the vehicle. It was already parked at an apartment complex, and we called the authorities. The authorities wanted to know where the unit was. I gave them the address. I said – it’s at this apartment complex, fourth parking spot on the left. And when the law enforcement showed up, it was sitting there.”
